Programming Coordinator

The Programming Coordinator is primarily responsible for the scheduling of SuperNova South’s 100+ sessions and speakers and to assist the Director of Programming with necessary tasks.  The Programming Coordinator will function as the Director of Programming’s right hand person to ensure all necessary conference tasks are completed. The Programming Coordinator must have a can-do attitude, doing anything needed to make the conference an unforgettable and positive experience that attendees look forward to year after year. This role reports directly to the Director of Programming. 

This position is volunteer only but will receive a free pass to the conference in return for their time upon successfully fulfilling their responsibilities. They will also receive a LinkedIn recommendation and endorsement from the Director of Programming.

About SuperNova South

SuperNova South is a five day series of workshops, lectures, networking, and social events that bring together entrepreneurs, innovators, business leaders, solution providers, and executives to discuss leading innovations in technology, explore opportunities in the digital space, and highlight how Atlanta and the south are leading the charge in many of these areas.

Responsibilities

  • Assist the Director of Programming in the scheduling of conference sessions and speakers.
  • Notify the Director of Programming and Track Leaders if additional speakers are needed to fill open time slots in the programming schedule.
  • Create a rough schedule outline and detailed programming grid for the conference – assisted by the Director of Programming.
  • Input all information regarding sessions into Sched – session description, speaker bio and headshot, room and conference locations, session difficulty, etc.
  • Create a process for Track Leaders to submit speaker information and communicate to them.
  • Ensure all session content is collected by track leaders and placed in specified location for retrieval to be inputted into Sched.
  • Communicate and work closely with the Director of Programming and Track Leaders.
  • Remain in constant contact with Track Leaders and the Director of Programming in case there are changes to speakers’ availability.
  • Coordinate any last minute scheduling changes up to the day of the event. These may be dictated by speaker changes, changes in availabilities, room changes or other unforeseen circumstances.
  • Available the weekend prior to help the team set up the conference location.
  • Promote SuperNova South via their personal social media channels and in-person opportunities.

Requirements

  • Ability to dedicate, on average, 5 hours a week to SuperNova South. Most of the heavy lifting for the Assistant Director of Programming will happen during the late summer months and early Fall, but you should expect hours to increase to an average of 10 hours a week 4-6 weeks out from the event.
  • Must be flexible and ready to adjust/accommodate/adapt to last minute scheduling changes.
  • Ability to work well with others.
  • Ability to help manage a large team with various levels of experience.
  • A passion for digital innovations and marketing strategies.
  • Strong communication and organizational skills.
  • Ability to manage your time effectively.
  • Available for 3-5 programming meetings (with Track Leaders) throughout the year.
  • Available the week of the conference, which will be held in early October, to help assist with last minute scheduling changes and assist with other tasks as needed. Volunteers will also be available throughout the week to assist.
  • This role may include light physical work at times. You will be expected to help the rest of the team with conference set-up and teardown as well as regular traveling between session rooms.
  • Available the weekend prior to help the team set up the conference location.
  • Promote SuperNova South via their personal social media channels and in-person opportunities.
